Reports To: Founder & CEOThe Role. We are seeking a highly organized, proactive Executive Assistant to the CEO & Operations Manager to serve as a right hand to the Founder while helping build and oversee the operational backbone of the company. This role sits at the intersection of executive support, operations, and cross-functional leadership. You will ensure the day-to-day runs smoothly while translating high-level priorities into clear plans, systems, and accountability across teams. Acting as a trusted extension of the Founder, you will protect time, drive follow-through, and help ensure the company remains aligned, organized, and moving forward. This role also calls for strong cultural fluency and aesthetic judgment - an instinct for what feels relevant, thoughtful, and on-brand, and the ability to bring that sensibility into day-to-day decisions and interactions. As AIRE continues to scale, this role is designed to evolve into expanded operational leadership with increased scope and responsibility.
Founder & CEO Support
Serve as a trusted right hand to the Founder, managing calendars, meetings, calls, and occasional travel while protecting time and focus
Prepare agendas, briefing materials, memos, meeting notes, etc and manage follow-through on action items
Filter and manage inbound communication, acting as a professional point of contact for clients, partners, and collaborators
Prepare and edit correspondences, reports, presentations, decks, and internal documents as needed
Anticipate needs, proactively address issues, and handle sensitive and confidential information with discretion and professionalism
Support special projects and initiatives requiring research, sound judgment, organization, and follow-through
Prepare briefs, context, and recommendations to support executive decision-making
Support relationship management through follow-ups, thoughtful gifting, and key dates across professional and personal networks
Assist with planning and logistics for hosted gatherings and moments that intersect with professional relationships
Support select personal logistics for the Founder that impact availability and effectiveness, including scheduling, travel coordination, reservations, and time-sensitive commitments
Step in during high-demand periods to remove friction and ensure seamless day-to-day flow
Operations & Internal Systems
Oversee day-to-day business and office operations and logistics to ensure a smooth, efficient, and well-run environment
Create, maintain, and improve internal databases, trackers, and reporting across talent rosters, partnerships, operations, and finance
Build, refine, and document internal processes, systems, and operational infrastructure, ensuring clear documentation and knowledge sharing
Develop and implement operational policies, procedures, and best practices to improve efficiency and consistency across teams
Ensure departments meet performance targets, deadlines, and operational standards
Coordinate information flow between finance, leadership, and internal teams, including participation in ongoing financial check-ins and reporting reviews
Proactively identify opportunities and implement solutions to improve operational efficiency
Coordinate with external vendors, consultants, and service providers as needed to support operations and initiatives
Support documentation standards, process hygiene, and operational clarity across the organization
Assist in planning and executing company-wide initiatives, milestones, and team moments
Execution, Alignment & Team Leadership
Manage internal leadership and team execution, ensuring clarity around priorities, timelines, and ownership
Partner with the Founder to translate company goals into concrete plans, timelines, and delegated ownership
Capture action items, track progress, flag risks or bottlenecks, and drive follow-through
Establish and maintain operating rhythms including weekly priorities, leadership check-ins, monthly goals, and quarterly planning
Hold team leads accountable to commitments and deliverables, escalating issues and resolving blockers as needed
Serve as connective tissue across teams to ensure alignment, communication, and momentum
Coordinate internal leadership meetings, all-hands meetings, and company-wide planning sessions
Support onboarding, role clarity, and internal documentation to ensure team members are set up for success
Maintain performance cadence and accountability tracking across teams
Qualifications
3+ years of experience in executive and operations support within an entertainment, talent agency, media, or founder-led environment
Demonstrated ability to manage people, projects, and competing priorities in a fast-paced, high-expectation setting
Exceptional organizational skills with strong attention to detail and follow-through
Clear, confident, and sophisticated written and verbal communication skills
Proven ability to manage complex workflows and high-touch relationships with discretion and professionalism
Strong analytical and problem-solving abilities, with sound judgment and decision-making instincts
Experience building, maintaining, and improving systems, processes, trackers, or operational workflows
High level of integrity and comfort handling sensitive and confidential information
Tech-forward and detail-oriented, with fluency in Google Workspace, Slack, and modern project management or tracking tools
Flexibility to work outside standard business hours when needed

Position Responsibilities
Talent Development & Management
Recruit and Manage a roster of high-potential talent and expert voices that embody AIRE’s vision and values.
Act as day-to-day manager and trusted advisor, offering counsel on brand direction, content strategy, partnerships, and long-term growth
Guide talent beyond digital: books, licensing, TV, product extensions, events, and more
Maintain consistent, thoughtful communication with talent and lead execution across all active projects with efficiency
Know your talent’s differentiators, strengths, and areas for growth and provide guidance accordingly.
Sales & Partnerships
Actively pitch talent for opportunities and creatively package ideas that align with talent and brand goals.
Identify revenue-driving opportunities and market trends; develop targeted pitch decks to get deals over the line
Maintain and grow a pipeline of warm brand leads
Convert one-off deals into long-term relationships
Represent AIRE and our talent at meetings, shoots, events, and networking opportunities
Create Media Kits for Talent and keep them updated reflective of latest highlights, numbers, partnerships and imagery.
Contract Fluency is Essential. Negotiate contracts with precision, ensuring terms reflect the deal, protect the talent, and uphold a high standard of professionalism and clarity.
Work closely with the finance department to track and project revenue accurately.
Project Management & Execution
Oversee and manage every stage of project and partnership execution, from developing scopes, redlining contracts, securing signatures, to reviewing creative briefs and coordinating product deliveries, managing deliverables, tracking timelines, and working with accounting to ensure accurate invoicing and closeout
Liaise between talent and partner teams to ensure seamless communication and high-quality output
Compile case studies and performance recaps that strengthen future deal flow and pitch positioning.
Stay analytical: understand what’s performing, why, and how to better position talent for success
Strategic Input & Agency Building
Contribute big ideas and execute on them - we’re looking for leaders who think deeply and act decisively.
Work cross-functionally with all internal teams to support holistic agency growth
Stay on top of industry trends, news, digital strategies, and best practices in the influencer and entertainment space
Research and surface potential new talent in line with AIRE’s brand and standards

Qualifications
5+ years of experience in talent management, minimum 2 years with a manager title
Demonstrated success in representing a roster of talent, closing brand deals and scaling talent across verticals
Savvy in contract negotiation, redlining, and spotting opportunities or risks others might miss
You're skilled at turning a pitch into a signed partnership - whether that means reading the room, adapting your approach, refining the deck, or pushing conversations forward to a yes.
Successful history of meeting and exceeding revenue goals.
Existing network of brand and agency contacts across lifestyle, beauty, fashion, food, design, wellness, and media with a natural ability to create relationships, maintain them, and a hunger to continue to grow them
Excellent written, verbal, and visual presentation communication skills
