We are seeking a highly organized, proactive Executive Assistant to the CEO & Operations Manager to serve as a right hand to the Founder while helping build and oversee the operational backbone of the company. This role sits at the intersection of executive support, operations, and cross-functional leadership. You will ensure the day-to-day runs smoothly while translating high-level priorities into clear plans, systems, and accountability across teams. Acting as a trusted extension of the Founder, you will protect time, drive follow-through, and help ensure the company remains aligned, organized, and moving forward. This role also calls for strong cultural fluency and aesthetic judgment - an instinct for what feels relevant, thoughtful, and on-brand, and the ability to bring that sensibility into day-to-day decisions and interactions. As AIRE continues to scale, this role is designed to evolve into expanded operational leadership with increased scope and responsibility.
Founder & CEO Support
Serve as a trusted right hand to the Founder, managing calendars, meetings, calls, and occasional travel while protecting time and focus
Prepare agendas, briefing materials, memos, meeting notes, etc and manage follow-through on action items
Filter and manage inbound communication, acting as a professional point of contact for clients, partners, and collaborators
Prepare and edit correspondences, reports, presentations, decks, and internal documents as needed
Anticipate needs, proactively address issues, and handle sensitive and confidential information with discretion and professionalism
Support special projects and initiatives requiring research, sound judgment, organization, and follow-through
Prepare briefs, context, and recommendations to support executive decision-making
Support relationship management through follow-ups, thoughtful gifting, and key dates across professional and personal networks
Assist with planning and logistics for hosted gatherings and moments that intersect with professional relationships
Support select personal logistics for the Founder that impact availability and effectiveness, including scheduling, travel coordination, reservations, and time-sensitive commitments
Step in during high-demand periods to remove friction and ensure seamless day-to-day flow
Operations & Internal Systems
Oversee day-to-day business and office operations and logistics to ensure a smooth, efficient, and well-run environment
Create, maintain, and improve internal databases, trackers, and reporting across talent rosters, partnerships, operations, and finance
Build, refine, and document internal processes, systems, and operational infrastructure, ensuring clear documentation and knowledge sharing
Develop and implement operational policies, procedures, and best practices to improve efficiency and consistency across teams
Ensure departments meet performance targets, deadlines, and operational standards
Coordinate information flow between finance, leadership, and internal teams, including participation in ongoing financial check-ins and reporting reviews
Proactively identify opportunities and implement solutions to improve operational efficiency

Qualifications
3+ years of experience in executive and operations support within an entertainment, talent agency, media, or founder-led environment
Demonstrated ability to manage people, projects, and competing priorities in a fast-paced, high-expectation setting
Exceptional organizational skills with strong attention to detail and follow-through
Clear, confident, and sophisticated written and verbal communication skills
Proven ability to manage complex workflows and high-touch relationships with discretion and professionalism
Strong analytical and problem-solving abilities, with sound judgment and decision-making instincts
Experience building, maintaining, and improving systems, processes, trackers, or operational workflows
High level of integrity and comfort handling sensitive and confidential information
Tech-forward and detail-oriented, with fluency in Google Workspace, Slack, and modern project management or tracking tools

Position Overview
AIRE is hiring a highly organized, proactive, and driven Assistant Talent Manager to support a Talent Manager and their roster of talent. This role is ideal for someone with sharp instincts and a genuine interest in digital media and influential voices across lifestyle, design, fashion, beauty, and the arts.
You will oversee the day-to-day execution of talent partnerships, campaign management, and related operations, playing a critical role in ensuring projects are run seamlessly from start to finish. Working closely with the Talent Manager, you will help implement strategic initiatives that build and scale standout talent brands creatively, strategically, and financially.
Beyond execution, this role requires initiative and forward momentum. You’ll anticipate needs, drive progress, and help move projects and partnerships forward in a fast-paced, dynamic environment. This position is well suited for someone eager to grow within talent representation and contribute meaningfully to AIRE’s next chapter.
Scope, level of responsibility, and compensation will vary based on experience.
Key Responsibilities
Project Management & Execution
Oversee all phases of project and partnership execution, including developing scopes, supporting light negotiations, reviewing contracts, securing signatures, and managing deliverables through campaign closeout
Coordinate creative briefs, product shipments, timelines, and deliverable tracking to ensure all contractual terms are met
Serve as a key point of contact for the Talent Manager’s roster, facilitating clear and consistent communication.
Compile partnership details into Statements of Work for review and assist with case studies and performance recaps to support future pitches
Ensure a high standard of execution, communication, and professionalism across all projects
Support talent on site for events, shoots, and occasional travel related to partnerships
Strategic Input & Business Development
Contribute to talent strategy development, aligning daily execution with both short- and long-term business goals
Support the development and execution of strategic partnerships across appearances, digital campaigns, social content, endorsements, launches, and more
Prepare pitch materials and presentations to support new business and partnership growth
Assist the Talent Manager with proactive outreach, sourcing contacts, and supporting negotiations
Demonstrate curiosity around talent development, deal structures, and partnership strategy, with a desire to understand how brands, talent, and revenue intersect
Over time, take increased ownership of smaller negotiations, proactive pitches, and the day-to-day support and management of select talent

Administrative Support & Coordination
Act as the right hand to the Talent Manager, supporting workflows and the talent roster across internal and external comms and initiatives
Manage internal databases, trackers, and systems to ensure accurate documentation of campaign details, assets, and contracts
Provide clear weekly updates to talent and stakeholders outlining deliverables, deadlines, calls, events, and action items
